Yes, AllCare is fully HIPAA compliant. We maintain:
  • Encrypted data transmission and storage
  • Comprehensive audit trails
  • Access controls and authentication
  • Business Associate Agreements (BAA) with all partners
  • Regular security audits and risk assessments
All users must complete HIPAA training and follow security policies.
To reset your password:
  1. Click “Forgot Password” on the login page
  2. Enter your email address
  3. Check your email for reset link
  4. Click link and create new password
  5. Password must meet security requirements (12+ characters, mixed case, numbers, symbols)
If you don’t receive the email, check spam folder or contact support.
Two-factor authentication is required for all users:
  1. Log in to your account
  2. Go to Settings > Security
  3. Click “Enable 2FA”
  4. Choose method:
    • Authenticator app (recommended)
    • SMS text message
    • Biometric (provider EPCS only)
  5. Follow setup instructions
  6. Save backup codes in secure location

Facility Playbooks (Facility Teams)

To enroll a new patient:For Facility Staff:
  1. Navigate to the Patients section
  2. Click “Admit Manually”
  3. Enter patient demographics
  4. Fill in medical information
  5. Save the patient record

After you admit a patient:
  • The patient appears in your patient list
  • AllCare Operations configures services
  • AllCare Operations assigns a provider
  • You’ll be notified when the patient is fully enrolled

To schedule a visit:
  1. Open patient profile
  2. Click “Schedule Visit”
  3. Select provider (if multiple assigned)
  4. Choose available date/time
  5. Add visit notes if needed
  6. Confirm appointment

For Providers

As a provider in AllCare, you can currently:
  • View your schedule - See upcoming visits and appointments
  • Access patient lists - View patients assigned to you
  • View patient charts - Access patient information and history
  • Document visits - Add visit documentation and clinical notes
  • Manage your capacity - Set availability, active days, and geographic preferences
  • View visit routes - See optimized routes for facility visits

To document a visit:
  1. Access patient from your schedule
  2. Click “Document Visit”
  3. Complete the visit template:
    • Chief complaint
    • History of present illness
    • Physical exam
    • Assessment and plan
  4. Sign and finalize note

To manage your availability:
  1. Go to Provider Settings > Capacity Settings
  2. Set your active days (which days you’re available)
  3. Configure max daily visits
  4. Set geographic preferences
  5. Save your settings
