Overview

Capacity Settings allow you to control your scheduling parameters, including how many facilities you visit per day, your maximum patient load, travel preferences, and availability. These settings help AllCare optimize your schedule and route assignments.
Schedule Impact: Changes to capacity settings affect future scheduling. Existing scheduled visits are not automatically changed.

Accessing Capacity Settings

Go to Your Profile

Click on your name or profile icon in the top navigation

Setting Active Days

Select which days you’re available for visits:

Navigate to Capacity Settings

Go to your profile settings

Find Daily Limits Section

Locate the daily capacity fields

Update Values

Enter new values for:
  • Max daily stops
  • Daily patient capacity
  • Max hours per day

Save Changes

Click Save to apply changes

Updating Travel Settings

Open Travel Preferences

Navigate to the Travel section in settings

Update Home Base

Enter or update your home base address
Use your actual starting location for accurate route optimization.

Set Travel Radius

Adjust your maximum travel distance

Add Preferred/Avoid Areas

Optionally specify geographic preferences

Save

Click Save to apply

Modifying Weekly Schedule

Open Availability Section

Navigate to Weekly Availability

Toggle Active Days

Check/uncheck days you’re available

Set Hours

For each active day, set start and end times

Add Exceptions

Mark any specific dates as unavailable (vacation, training)

Save Schedule

Click Save to apply changes

Time Off and Exceptions

Requesting Time Off

Go to Time Off

Navigate to SettingsTime Off or Availability

Add Time Off

Click Add Time Off or Request Time Off

Enter Details

Specify:
  • Start date
  • End date
  • Reason (optional)

Submit

Save the time off request
Request time off in advance when possible. AllCare Operations may need to arrange coverage for your assigned facilities.

See all your upcoming unavailable dates:

Common Scenarios

If you need to reduce capacity temporarily:
  1. Go to Capacity Settings
  2. Lower your daily limits
  3. Set an end date for the reduction
  4. Add notes explaining the reason
  5. Notify AllCare Operations of the change
Remember to restore settings when ready.
To cover more facilities:
  1. Increase your Max Travel Radius
  2. Review and add Preferred Areas
  3. Consider increasing Max Daily Stops if appropriate
  4. Contact Operations to be assigned new facilities
To modify your work days:
  1. Update your Weekly Availability
  2. Save changes at least 2 weeks in advance
  3. Existing visits on removed days may need rescheduling
  4. Operations will coordinate any needed changes
Before extended time off:
  1. Request Time Off with exact dates
  2. Submit at least 2 weeks in advance
  3. Operations will arrange coverage
  4. Review any visits that need rescheduling
  5. Confirm coverage is in place before leaving

Possible causes:
  • Changes apply to future scheduling only
  • Settings not saved
  • Override by Operations for coverage needs
Solution: Verify settings are saved. Existing visits aren’t automatically changed. Contact Operations if schedule seems incorrect.
Possible causes:
  • Hours not set correctly
  • Emergency coverage request
  • Settings override for urgent need
Solution: Review your hours settings. Contact Operations if scheduling errors persist.
Possible causes:
  • Facility assigned before radius change
  • No other providers available
  • Radius calculated from different location
Solution: Verify your home base address is correct. Contact Operations to review facility assignments.
Possible causes:
  • Settings locked during peak period
  • Permission issue
  • System error
Solution: Try refreshing the page. If still unable to edit, contact AllCare support.
