Overview

The Resident Lookup feature allows you to quickly search for and access detailed resident information directly from your mobile device. View demographics, medical information, medications, contacts, and notes—all in one place without returning to a desktop.
Key Benefit: Access complete resident profiles on the floor, including medications, allergies, diagnoses, and emergency contacts.

Who Can Use This Feature

Resident Lookup is available to facility staff who have:
Edit capabilities within resident profiles require additional permissions. Contact your administrator if you need to modify resident information.

Quick Start

Find and view a resident profile in under 30 seconds:

Open Residents Tab

Tap the Residents icon in the bottom navigation bar

Search for Resident

Tap the search icon and type the resident’s name

Select Resident

Tap on the resident’s name from the search results

View Profile

Browse through the collapsible sections to find the information you need

When you open the Residents tab, you’ll see:

Each resident card displays:

Profile Photo

Resident’s photo or default avatar

Searching for Residents

The search feature includes smart functionality:
  • Real-time search - Results update as you type
  • Debounced input - Waits 500ms after you stop typing to search
  • Partial matching - Find residents by partial name
  • Clear button - Quickly clear search and show all residents
Type at least 2-3 characters for best search results. The search matches against first and last names.

Resident Profile Screen

Tapping on a resident opens their detailed profile with collapsible sections.

Profile Header

The top of the profile displays:

View and edit (if permitted) basic resident information:

Power of Attorney (POA) contacts are marked with a green badge. These contacts have legal authority to make decisions for the resident.

Medications

Complete medication list organized by type:
Scheduled medications administered at regular intervals. Displayed with:
  • Status indicator (green = active, red = discontinued, orange = on hold)
  • Medication name
  • Special instructions (italicized)
  • Last administration date/time
As-needed medications. Same display format as routine, but grouped separately for quick identification.

Tap the three-dot menu on any medication for options:

Available actions depend on your permissions. Some options may not appear if you lack the required access level.

Resident Notes

Access notes by tapping the Notes quick action button.

Creating a Note

Tap Add Button

Tap the green + floating action button

Select Note Type

Choose the category for your note

Type the note content

Attach Documents

Optionally attach files or images

Save

Tap Save to create the note

Note Actions

Each note card has action buttons:
  • Edit - Modify the note content
  • Delete - Remove the note (with confirmation)

Profile Photo Management

Viewing Photos

Tap on a resident’s profile photo to:
  • View the full-size image
  • Access edit options (if permitted)

Changing Photos

If you have edit permissions:

Tap Profile Photo

Tap the photo in the profile header

Choose Source

Select Camera to take a new photo or Upload Picture to choose from gallery

Confirm Upload

The photo uploads automatically and updates the profile

FAQ

You need Edit Demographics permission. Contact your administrator to request access.
Medication monograph access requires a specific permission. This is typically granted to clinical staff only.
Tap the edit icon on the Places of Service section. Update the wing and room fields, then save.
Yes! Tap the three-dot menu on any medication and select Activity Log to see the complete administration history.
The POA (Power of Attorney) badge indicates that contact has legal authority to make healthcare decisions for the resident.

Troubleshooting

Cause: Network connectivity issue or server timeout.Solution:
  1. Check your internet connection
  2. Pull down to refresh the list
  3. Close and reopen the app
  4. Log out and log back in
Cause: File too large or unsupported format.Solution:
  • Use JPEG or PNG format
  • Ensure file is under 5MB
  • Try taking a new photo with the camera option
Cause: No matching residents or search term too specific.Solution:
  • Try a shorter search term
  • Search by first name only
  • Clear search and browse manually
Cause: Network error or permission issue.Solution:
  1. Pull down to refresh
  2. Check your internet connection
  3. Verify you have medication view permissions
Cause: You may not have permission or the note was created by another user.Solution: Contact your administrator if you need to delete notes created by others.
