Overview

The Tasks feature in the AllCare Nurse App allows nurses and caregivers to view assigned tasks, record vital signs, document Activities of Daily Living (ADLs), and complete custom interventions—all from your mobile device.
Key Benefit: Document care activities in real-time at the point of care, ensuring accurate records and timely task completion.

Who Can Use Tasks

Tasks are available to users who have:
Permission RequiredIf you see a lock icon on tasks or “No Permission” message, you don’t have the required permission for that task type. Contact your facility administrator to request access.

Quick Start

Complete a task in under 2 minutes:

Open Tasks

Tap the Tasks tab at the bottom of the screen

Select a View

Choose Residents (grouped by resident) or Tasks (grouped by task type)

Find Your Task

Tap on a resident card to expand and view their tasks, or scroll through the tasks list

Tap Complete

Tap the Complete button on the task card

Enter Required Information

Fill in readings, select options, and add notes as required

Save

Tap Save to record the task completion

Tasks Screen Overview

When you open Tasks, you’ll see:

Residents View

The Residents tab shows tasks organized by resident:
  • Each resident appears as an expandable card
  • Tap a resident to see all their scheduled tasks
  • Tasks are grouped by category (Vitals, ADLs, etc.)

Tasks View

The Tasks tab shows all tasks organized by type:
  • Tasks grouped by category across all residents
  • Useful for completing similar tasks for multiple residents
  • Shows task name, time, and resident

Task Categories

Tasks are organized into categories based on type:

Vitals

Blood pressure, heart rate, temperature, SpO2, weight, blood sugar, pain level

ADLs

Bathing, grooming, dressing, toileting, eating, transferring

Observations

Bowel movement, hydration, general observations

Custom Interventions

Facility-defined tasks with custom fields

Other Tasks

Medication management, housekeeping, meal prep, etc.

Completing Tasks

Vital Signs

Vital sign tasks require a reading value:

Tap Complete on Vital Task

A dialog appears with input fields

Enter the Reading

Enter the measured value in the Reading field. The unit is displayed automatically (e.g., mmHg, bpm, °F)

Add Notes (Optional)

Enter any relevant notes about the reading

Tap Save

Submit the vital sign record

Hydration

Hydration tasks track fluid intake:

A dialog appears with hydration options

Enter Amount Consumed

Enter the amount in ml/oz

Select Fluid Type(s)

Choose one or more fluid types (Water, Juice, Tea, etc.). Select “Other” to specify a custom type.

Select Fluid Intake Status

Choose: Encouraged or Refused

Indicate Supplement Required

Select Yes or No if supplements were needed

Add Notes

Enter any additional information

Submit the hydration record

Observation Tasks

Observation tasks document resident conditions:

Select Observation Type(s)

Choose one or more observation types. Select “Other” to specify a custom type.

Describe what was observed in detail

Select Action(s) Taken

Choose what actions were taken in response. Select “Other” to specify a custom action.

Submit the observation record

Custom Interventions

Custom interventions are facility-defined tasks with specialized fields:
Custom FieldsCustom interventions may include various field types: text input, dropdowns, checkboxes, signatures, file uploads, rating scales, and grids. Complete all required fields (marked with *) before saving.

Adding Interventions

You can add unscheduled interventions or observations:

Tap + Intervention

Tap the green + Intervention button at the top of the Tasks screen

Select Resident

Search and select the resident for the intervention

Select Intervention Type

Choose the type of intervention to record

Complete the Form

Fill in all required fields based on the intervention type

Save

Tap Save to record the intervention
Use the + Intervention button for unscheduled observations, incidents, or care activities that aren’t on the regular task schedule.

Searching for Residents

To quickly find a specific resident:

Tap Search Icon

Tap the search icon in the top right corner

Type Resident Name

Enter the resident’s first or last name

View Results

The list filters to show matching residents

Exit Search

Tap the back arrow to return to the full list

Date Selection

By default, Tasks shows today’s tasks. To view a different date:

Tap the Date

Tap on the date displayed below the tabs

Select New Date

Choose Today or Custom to pick a specific date

View Tasks

The list updates to show tasks for the selected date

Best Practices

Accuracy First

  • Double-check readings before saving
  • Use correct units
  • Be specific in notes and descriptions
  • Report unusual findings immediately

Timely Documentation

  • Complete tasks immediately after care
  • Don’t batch documentation for later
  • Accurate timestamps are critical
  • Document before end of shift

Complete Information

  • Fill all required fields
  • Add notes for context
  • Document any concerns
  • Include relevant observations

Communication

  • Report critical values immediately
  • Notify supervisor of concerns
  • Document communication in notes
  • Follow up on flagged items

FAQ

Possible causes:
  • No tasks scheduled for the selected date
  • Tasks assigned to different users
  • Wrong facility selected
Solution: Check the date selector, try searching for a resident, or confirm you’re viewing the correct facility in Settings.
Possible causes:
  • Your role doesn’t have permission for that task category
  • Permission was recently changed and needs refresh
Solution: Contact your facility administrator to request permission for the task type (Vitals, ADLs, etc.). Try logging out and back in to refresh permissions.
  • Residents view: Shows all tasks grouped under each resident. Best for providing care to one resident at a time.
  • Tasks view: Shows all tasks grouped by task type. Best for completing the same type of task for multiple residents (e.g., morning vitals rounds).
Once a task is completed and saved, it cannot be edited in the app. If you made an error, contact your supervisor to correct the record through the web platform.
Use the + Intervention button to add unscheduled interventions. This allows you to document observations, incidents, or care activities that aren’t scheduled.
Fields marked with * are required. You must complete these fields before the task can be saved. The app will show an error if you try to save without completing required fields.

Troubleshooting

Possible causes:
  • Poor network connection
  • Server issues
  • App needs refresh
Solution:
  1. Check your WiFi or cellular connection
  2. Pull down on the screen to refresh
  3. Close and reopen the app
  4. Try switching between Residents and Tasks views
Possible causes:
  • Network connectivity issue
  • Task already being processed
  • Permission issue
Solution:
  1. Wait a few seconds and try again
  2. Check for loading indicator
  3. Verify you have permission for this task type
  4. Refresh the task list
Cause: A required field (marked with *) was not completed.Solution:
  1. Review the error message to see which field is required
  2. Complete the missing field
  3. Try saving again
Possible causes:
  • Signature field was cleared
  • Network issue during upload
Solution:
  1. Draw your signature again
  2. Ensure stable network connection
  3. Try saving again
Possible causes:
  • File too large
  • Network timeout
  • Storage permission denied
Solution:
  1. Try taking a new photo with lower resolution
  2. Check network connection
  3. Ensure the app has camera/storage permissions
  4. Try uploading again
Possible causes:
  • Spelling error in search
  • Resident not assigned to you
  • Resident at different facility
Solution:
  1. Check spelling of resident’s name
  2. Clear search and scroll through full list
  3. Verify you’re at the correct facility
