Tasks Pool. Pharmacy. Tasks dispatched to Pharmacy by a Care Partner land here. You see only Pharmacy tasks. Other pillars don’t see yours.

Top half: the 5-step happy path

1. Open the Pharmacy Landing Stage

URL is in your welcome email. Single screen, two columns: Unclaimed (left), My Tasks (right).

2. Pick a task from Unclaimed

Sort: P0 → P1 → P2 → P3 (default). You can sort by oldest-first, newest-first, or by patient. Each row shows:
  • Patient (resolved by AI: VERIFIED / PROVISIONAL / NOT_FOUND)
  • Task type + subtype (refill / prior auth / med question / etc.)
  • Urgency (P0 / P1 / P2 / P3)
  • Source (fax, email, portal)

3. Claim it

Click Claim. The task moves to your My Tasks column. Other team members now see it as claimed-by-you.

4. Do the work

  • Open the task.
  • Read the AI summary at the top (one paragraph: what they want, who, by when).
  • Download attachments (Rx scripts, lab results, prior auth forms, etc.).
  • Check the parameters the AI extracted (medication, dosage, provider, pharmacy of record).
  • Do the work the way you always have.

5. Mark done

Click Mark Done. Pick an outcome:
  • Completed (refill processed, prior auth submitted, question answered)
  • Blocked (waiting on provider / external party. pick reason from list)
  • Rejected (cannot complete. pick reason)
The Care Partner gets auto-notified and handles requester communication.

Bottom half: cheat sheet + edge cases

Quick rules

What “good” looks like in the first hour

  • 3-5 minutes per task average
  • 0 unclaimed P0s waiting > 5 min
  • 0 rejected tasks for technical reasons (system bugs)
  • Slack channel is your safety net

When to escalate to Sharl

  • Same AI error 3+ times in an hour (prompt fix, not Mark Rejected)
  • Attachment system flake
  • Suspected PHI exposure
  • Anything that smells like patient safety

Report Bug (anything not right)

Click Report Bug anywhere in AllCare. The form auto-fills the task URL, then asks:
  • What happened wrong?
  • What is the expected behavior?
Add patient context if relevant. Submit fires to #concierge-bugs (team channel) and Linear (auto-created issue). Reviewed daily. Use it any time something is not right. Bugs, comments, feedback.
Wrong attachment, missing parameter, AI summary off? Report Bug. Wrong pillar entirely? Use Mark Rejected → “Wrong pillar”. Care Partner reroutes.

What you are NOT responsible for

  • The Care Partner’s dispatch decision (they own it)
  • Communicating with the requester (Care Partner does this)
  • AI quality (4 PM review surfaces patterns)
  • Tasks in other pillars
