Your one queue

Tasks Pool. Clinic. Tasks dispatched to Clinic by a Care Partner land here. MAs, Billing, and Ops share the queue. You see only Clinic tasks.

Top half: the 5-step happy path

1. Open the Clinic Landing Stage

URL is in your welcome email. Single screen, two columns: Unclaimed (left), My Tasks (right). Filter buttons at the top: MA, Billing, Ops.

2. Filter to your sub-team, then pick a task

Click the filter button for your role. Sort: P0 → P1 → P2 → P3 (default). Each row shows:
  • Patient (VERIFIED / PROVISIONAL / NOT_FOUND)
  • Task type + subtype (provider note request / intake form / clinical question / billing inquiry / etc.)
  • Urgency (P0 / P1 / P2 / P3)
  • Source (fax, email, portal)

3. Claim it

Click Claim. Task moves to your My Tasks. Visible to your sub-team as claimed-by-you.

4. Do the work

  • Open the task.
  • Read the AI summary at the top.
  • Download attachments (forms, notes, referrals, lab results).
  • Check parameters the AI extracted (provider, appointment date, encounter type, etc.).
  • Do the clinical / billing / ops work the way you always have.

5. Mark done

Click Mark Done. Pick an outcome:
  • Completed (form filed, note generated, question answered, claim processed)
  • Blocked (waiting on provider / patient / external. pick reason)
  • Rejected (cannot complete. pick reason)
Care Partner gets auto-notified.

Sub-team routing inside the Clinic queue

The AI extracts subtype. Filter by your role:
  • MA queue: intake forms, clinical questions, vitals follow-ups
  • Billing queue: claims, eligibility, prior auth referrals (clinical side)
  • Ops queue: appointment changes, provider availability, anything else
If a task lands in the wrong sub-team filter, claim it anyway and use Reassign Sub-team. Don’t reject.

Quick rules

What “good” looks like

  • 3-5 min per task average for routine work
  • Provider notes / clinical Q&A may take longer. document time + reason
  • 0 unclaimed P0s > 5 min
  • Sub-team filters used by everyone

When to escalate to Ryan

  • Same AI error 3+ times in an hour
  • 42 CFR Part 2 / consent question
  • PHI exposure smell
  • Patient safety smell
  • Bug in the Clinic Landing Stage

Report Bug (anything not right)

Click Report Bug anywhere in AllCare. The form auto-fills the task URL, then asks:
  • What happened wrong?
  • What is the expected behavior?
Add patient context if relevant. Submit fires to #concierge-bugs (team channel) and Linear (auto-created issue). Reviewed daily. Use it any time something is not right. Bugs, comments, feedback.
Wrong attachment, missing parameter, AI summary off, sub-team filter wrong? Report Bug. Wrong pillar entirely? Use Mark Rejected → “Wrong pillar”. Care Partner reroutes.

What you are NOT responsible for

  • Care Partner’s dispatch decision (they own it)
  • Communicating with the requester (Care Partner does this)
  • Tasks in Pharmacy or Routing
  • AI quality (4 PM review surfaces patterns)
